Penn Marketplace is the platform used to order all necessary lab supplies. For anything outside Marketplace, speak to Dr. Cheng.

Contact Dr. Cheng to be added to the Order Request List and Orders Already Placed Google Sheets.

Organizing Order Requests

Check the various tabs (or use Find) on the Order Request List Sheet to see if the item’s been ordered before. If not, search for it in Penn Marketplace’s Shop bar.

Fill out all fields on the Sheet.

Important: items are ordered by Joy, grouped by supplier. Add items from the same supplier to one Active Cart and send by supplier. You can open multiple carts via Shop → My Carts → View Carts → Create Cart, and switch the active one from a cart’s dropdown → Activate.

To order: set quantity, Add to Cart (or, if you see “Order from Supplier,” you’ll be redirected to their site — set quantity and check out there, then you’ll return to Marketplace with the item in your active cart).

When done, click Assign Cart, search “Yuyan” / “Cheng”, and click the + next to Dr. Cheng’s name. She approves and sends it to Joy to complete.

Organizing Placed Orders

Once Dr. Cheng notifies you the order is placed (and you get Joy’s confirmation email), cut the entry from Orders Requested and paste it into the first tab of Orders Already Placed. Fill in the PO number from the order receipt in Joy’s email.

Requesting a Quote (POs)

For items that cannot be purached directly through Penn Marketplace, a quote will need to be requested from the vendor. These quotes are used by our business administrator to generate a purchase order. All purchase orders and their related quotes should be uploaded to the appropriate vendor folder on Box. These folders can be located under Files > Lab Management > Order

Receiving Orders

Sign for deliveries (any hire can do this). Remove the packing slip and place it in the drawer by the door. Put the item in its place and post in #deliveries on Slack. If unsure where something goes, ask Jeff, Gaby, or Dr. Cheng.

Break down large boxes and leave them in the hallway without obstructing it.
